How to measure the calls your business is missing

You can't fix what you don't see. A simple, one-week method to find out how many calls go unanswered — and what they're worth.

Most businesses underestimate missed calls because, by definition, nobody was there to notice them. Before deciding whether you need help at the front desk, spend one week measuring.

Step 1: Pull your call log

Your phone provider's customer area or your VoIP system usually lists every incoming call, including unanswered ones. Export a normal week — avoid holidays — and count answered versus missed calls.

Step 2: Look at when calls are missed

Group missed calls by hour. Patterns appear quickly:

  • Lunchtime, when the desk is short-staffed
  • Opening and closing, when the desk is busiest in person
  • Evenings and weekends, when you're closed but customers are free

Step 3: Check who called back

Compare missed numbers with calls later that day. Callers who didn't try again — especially new numbers — are the ones most likely to have gone elsewhere.

Step 4: Put a value on it

Multiply the missed calls that didn't call back by your typical booking rate and the average value of a booking. Even a conservative estimate usually makes the case for answering every call.

What to do next

If the gaps are concentrated in specific hours, start there: many businesses first forward only lunchtime and after-hours calls to an AI receptionist, then expand once they see the results.
